Big Duck works exclusively with nonprofits to transform the way they communicate. The Coordinator manages all internal aspects of projects to ensure they are completed on time, on budget, meet our high standards for excellence, and are managed without undue pressure on creative staff. They are our internal ‘air traffic control’. The Coordinator also supports other aspects of our office. This is a full-time on-site position in our Brooklyn office.
Skills/Requirements
• Comfortable with Mac platform computers
• Strong organizational skills and multi-tasking abilities and systems
• High attention to detail and extremely organized
• Ability to keep information confidential
• Loves to set up and enforce systems, but does it in a charming way
• Self-starter who is able to listen and execute projects independently
• Able to productively inspire results in others without inspiring frustration
• Experience with Clients & Profits or other agency project management software a plus
Responsibilities
Keeping projects organized, profitable and on schedule. This includes:
• Creating estimates in Clients and Profits that reflect past projects and team input, then monitoring actual time spent and keeping team informed proactively about deviations.
• Monitoring scope creep and securing additional OKs or change orders as needed, in collaboration with client services staff.
• Setting up and maintaining new jobs, budgets, systems, and files.
• Developing written schedules for client services staff to share with clients, with both internal and client deadlines built in.
• Facilitating daily ‘stand up’ meetings with creative team, and participating in daily account services meeting
• Monitoring and supporting daily time entry by all staff and freelancers by end of day.
• Managing printers, vendors and other external resources collaboratively with project director.
• Reporting to Principal during a weekly meeting on job progress.
• Updating and monitoring job calendars, scope and workflow.
• Setting up and monitoring weekly and monthly retainer projections and budgets.
• Monitoring projects to ensure things don’t slip through the cracks.
Supporting good communication between us and our clients:
• Notifying client services team of any materials/approvals needed from client.
• Keeping staff up to date on issues that might impact relationships with client.
• Ensuring that client OK is delivered in writing at key junctures.
• Reviewing work for accuracy/proofing and quality control if requested.
• Reviewing estimates and schedules with creative team to ensure that they are realistic.
• Keeping detailed job status/traffic notes up to date in Clients and Profits.
Helping us work smarter, not harder:
• Ensuring that all essential information is present, in writing, before allowing work to begin.
• Monitoring workload and need for additional support proactively with design and copy directors.
• Selecting representative projects to debrief with team about.
If time allows, Coordinator might also:
Support HR including:
• Tracking and managing employee benefits.
• Providing support with payroll administration.
• Support accounting including: Entering bills in accounting system (Clients and Profits).
• Running monthly reports on finances, productivity, and more.
• Maintaining projections vs actuals spreadsheet.
• Generating invoices.
• Measuring profitability of each completed project.
• Measuring billable efficiency on a quarterly basis with principal.
Support administration including:
• Managing computer tech issues: repairs, growth, purchases, etc.
• Managing office needs including alarms, phones, email mailboxes, office supplies, etc.
• Support principal including: Helping staff and clients connect with principal easily.
• Making life easier by anticipating needs/thinking ahead.
• Assisting with occasional personal tasks.
